FLEXITIME & TIME LOGGING SYSTEM
VERSION 5
SYSTEM ADMINISTRATOR'S MANUAL
1. Installation and Setup
Put the floppy distribution disk in drive a: or b:, change to that drive and
enter the command INSTALL - an installation routine will undertake the
necessary installation for you after prompting for a destination drive and
directory which you can change if you wish.
Once the program has been properly installed start it by entering the command
FTTL.
As this is the first time the system has been run it will create empty data
and default system files.
After the opening screen a calendar will appear. In most cases today's date
will be highlighted so all you need to do is press ENTER. If it is not use the
cursor keys to highlight the correct date and press ENTER. If you have had to
change the date it means that your system clock is wrong and you should check
this at the earliest convenience - otherwise you will always have to be
changing the date every time you run the program. This something which
ordinary users will quickly tire of and probably "forget" which could cause
incorrect operation of the system.
You can press F1 at anytime for help. A help screen will be displayed and the
contents may be viewed by using the cursor keys to move down and up as
required. Press ESC to return to the program.
A warning will appear indicating that there is no data in the people
(employees) file. Press ENTER to remove the warning.
A message will appear indicating how many more employees can be added - this
depends on the original licence purchased. Press ENTER to remove this message.
A blank employee record screen will appear. Fill in your details (or the
details of the system administrator) as required. Press ENTER to move from
field to field. Use the UP arrow to move back through the fields. DO NOT
CHANGE THE SECURITY LEVEL FROM 1! When you move off the last field by pressing
ENTER you will be asked to confirm that you are satisfied. Press Y to write
this record to the file or press N to start again. You can add as many
employee records as you like at this time but you only have enter 1 to make
the system work.
The security level can be 1, 2 or 3. 1 is the highest and gives access to the
whole system. Level 2 gives access to the main flexisheet menu, periods and
employees menus but not to the system menu - this would be suitable for local
supervisors/team leaders. Nobody can give themselves a higher security than
they already have, which it why it is critical to always have one person with
a security level of 1!
You will then be warned that no period has been selected. A "period" is a
start date for a 28 day (4 week) logging/reporting period. The system uses a
combination of an employee's reference number and the period start date to
create and maintain a unique flexisheet for that period/person.
You will be asked to select a starting date for the first period. This MUST
be a Monday. This will set the date from which everything will follow for the
rest of the time you operate the system so it is important to get this right!
You cannot change it later.
Press ESC once you have set up and selected the first starting period.
The system will then run as it will usually run in the future. You will be
prompted once again for the required person - enter the surname and password
of the employee you have just created. Please make sure you choose somebody
with Level 1 security as a number of system defaults now need to be checked
which require access to the whole system.
From the top menu choose SYSTEM (Press S). If you are running this system on
a network you will be asked to confirm that nobody else is using the system.
This is important because you must have exclusive access to the files in the
system at this point. As you are just setting the system up it is highly
likely that you are still the only person using the system!
Choose PRINTER SETTINGS (Press 2) then choose CHOOSE PRINTER DRIVER (Press 1).
A menu of printer drivers will appear. Highlight the desired driver and press
ENTER. If you cannot see a suitable driver you can create a new one or edit
an existing one to suit using the other two items on this menu. Press F1 while
using these selections for help on changing the printer control codes. If you
get stuck please do not hesitate to telephone us. When you have selected the
desired driver ESC back to the SYSTEM sub-menu.
Now choose SYSTEM SETTINGS (Press 3). On the first page change the settings
to suit and keep pressing ENTER to reveal a second page of defaults. It is
most important to get these right now because they will affect everything that
follows. These defaults are read every time a new employee is created. What
you put in these defaults is, of course, dependent on organisation policy (we
assume we are allowed to use the last two words in the same sentence). Again
pressing F1 gives more help.
ESC back to the SYSTEM sub-menu. You may wish to switch the backup warning off
if you are taking backups at network level, otherwise leave it on to remind
yourself to take regular backups.
Do not change any other settings at this stage.
ESC back to the main menu.
You now need to set up your organisation's TIME FILES - this can either be
done by you or by somebody with a Level 2 security clearance and is more fully
described in the Supervisor's Manual. You must have at least one entry in each
time file, however, or the system will not work properly.
You can now proceed to set all your users up on the system. You need to make
sure that each work station is set to FILES=99 and BUFFERS=30 in the
CONFIG.SYS file. If you get a DOS 4 error message when running the program the
most likely cause is failure to have enough file handles available at the
offending workstation.
